PARTICIPANT AGREEMENT
This agreement ("Agreement") is entered into on September 14, 2025 or the date upon which it is signed (“Effective Date”). The Event is on April 26th-May 3, 2026 WITA (UTC +8) at F6FR+76Q, Jl. Raya Demayu, Singakerta, Kecamatan Ubud, Kabupaten Gianyar, Bali 80571, Indonesia.
Parties: Known as "Organizer" Elise Gee and Daisey Miller
and
the named individual who completes/signs this form, hereafter referred to as the “Client.”
Collectively, all of the above people entering this Agreement will be referred to as the "Parties."
1. TERMS OF AGREEMENT
a) The purpose of this Agreement is to set forth the details of Inner Odyssey Bali Yoga Retreat 2026 as outlined on https://yogaeliseg.com/retreats from April 26th-May 3, 2026 WITA (UTC +8), as well as the Parties relationship to ensure each are clear as to respective roles so that the experience will be positive, productive, and comfortable.
b) The total cost of this trip has been outlined on https://yogaeliseg.com/retreats. If Client registered for a double occupancy twin room and does not have a roommate, the organizer will make efforts to pair Client with another traveler. By signing this Agreement, Client acknowledges the cost of the trip and agrees to pay the amount based on the Payment Terms below.
c) The Retreat will include the following:
- Seven (7) nights of accommodations
- Seven (7) breakfasts
- Seven (7) dinners
- Yoga & movement classes, meditation, and organizer’s facilitation and guidance throughout the Retreat.
- Entrance fees to programmed excursions as described on the retreat Website.
d) The Retreat does NOT include the following:
- Roundtrip airfare to and from Gusti Ngurah Rai International Airport (AKA Denpasar Airport: DPS)
- Airport transfer
- Lunch, snacks, and other food
- Non-programmed excursions & transportation
- Add-on activities, ceremonies, & services (i.e. spa massages, tipping therapist, etc.)
- Alcoholic & bottled beverages
- Shopping & souvenirs
- Travel insurance (highly recommended)
Any and all costs for lodging/transportation/food and other items not listed above are the responsibility of the Client. Client acknowledges that no other costs beyond those described herein will be included in the cost of the Retreat.
2. PAYMENT TERMS
- The Client will make payments via Cash, Venmo, Zelle bank transfer, or credit card (via Square), or other agreed upon method and 3.5% service fee for all credit card payments.
- Deposit: A non-refundable deposit of $750.00 of the total amount is required for Client’s booking to be confirmed. This amount is applied to Client’s total cost.
- Balance: If the amount has not been paid in full, payment of Client’s remaining balance is due in two payments. 50% of your balance is due 108 days prior to the start of the retreat (January 8, 2026) and full payment of the remaining balance is due 54 days prior to the start of the retreat (March 1, 2026). Payments are non-refundable unless stated otherwise.
- Early-Bird and Standard Pricing:
- The Early-Bird Rate is available only for reservations confirmed and deposits received on or before November 1, 2025. Effective November 2, 2025, the Early-Bird Rate automatically expires and all subsequent reservations shall be subject to the Standard Pricing set forth below.
- Early-Bird Pricing (per person):
- Double Occupancy Room – Twin Bed: USD $1,900
- Single Occupancy Room – King Bed: USD $2,700
- Double Occupancy Room – King Bed (shared bed): USD $1,800
- Standard Pricing (per person):
- Double Occupancy Room – Twin Bed: USD $2,100
- Single Occupancy Room – King Bed: USD $2,900
- Double Occupancy Room – King Bed (shared bed): USD $2,000
- Binding Effect: By submitting a reservation and deposit, the Participant agrees to the applicable rate based on the date the deposit is received. Rates are non-negotiable and subject to the cancellation and payment terms of this Agreement.
- Client acknowledges that $50 discount applies only when the total balance is paid entirely in cash USD and will not be applied to partial cash or mixed-method payments. This discount is available only to residents of the Sacramento, California, USA region.
- Late Payments: Organizers must pay our providers and tour operators in advance; therefore, organizers must collect the full payment by March 1, 2026. If Client does not pay in full by this date, a $250 late payment fee will be added to the invoice. If Client does not pay the remaining balance within 7 days after the final payment due date, Client’s reservation will be subject to termination without refund of any of the amount paid to date. Client is strongly encouraged to purchase travel insurance with “cancel for any reason” coverage.
3. CANCELLATION POLICY
Client Cancellation:
- All bookings are non-refundable, and all deposits and payments are considered final. Client is encouraged to purchase travel insurance with "cancel for any reason" coverage to safeguard Client’s investment in case of unexpected changes. If the client is unable to attend the retreat for any reason, it will be the client's responsibility to transfer the participant's spot by finding a replacement on or before March 1, 2026.
- No refunds or price adjustments will be granted for late arrival, early departure, missed activities, declined transportation, flight disruptions, travel delays, or illness. If the Client cancels participation in whole or in part, for any reason, the stated cancellation policy shall apply without exception.
Organizer Cancellation:
- If the retreat is canceled by the organizer due to unforeseen circumstances (including but not limited to low enrollment, acts of God, weather, natural disaster, war, political upheaval, health crises, pandemics, government order or law, action by any governmental authority, national, regional, or global emergency, strikes, shortage of adequate power of facilities, or any other circumstance outside of the organizer's control), there is no guarantee for a refund.
- Organizer is not responsible for additional expenses incurred (i.e. including but not limited to flights, visa fees, travel insurance, additional lodging, lunches, extra food outside of programmed meals, alcoholic and bottled beverages, transportation outside of the programmed excursions, add-on services, activities, ceremonies, and excursions, shopping and souvenirs, etc.).
- Organizer has the right to change programmed excursions based upon weather and availability.
4. TRAVEL & INSURANCE
- Client is responsible for arranging and paying for transportation to and from the retreat location.
- Client's passport must be valid for at least six months beyond your arrival date and have at least two blank pages for stamps.
- Client must have a confirmed ticket for a flight leaving Indonesia before your visa expires.
- Client is responsible for purchasing and obtaining a tourist visa online (e-VoA) before their trip or Visa on Arrival (VoA) upon entry.
- Client must complete the All Indonesia Declaration seventy two hours (three days) prior to arrival.Client is responsible for paying the Bali Tourist Levy, a mandatory fee for all international visitors to Bali.
- Client agrees and understands that medical and travel insurance with “cancel for any reason” protection is highly recommended and must be obtained independently by the Client. Client further acknowledges that such insurance is the only available recourse for any refund or financial recovery.
- The organizer is not liable for flight delays, cancellations, or missed connections.
5. HEALTH & WELLNESS RESPONSIBILITY
- Client is in good physical and mental health and capable of participating in yoga, meditation, and related retreat activities.
- Participation is voluntary and at the client's own risk.
- Client agrees to inform the organizer of any medical conditions, injuries, allergies, or limitations prior to arrival.
- Client acknowledges that yoga involves physical movement and that such movement carries the risk of injury. Client assumes full responsibility for any personal injury, illness, death, or damage to personal property.
6. WAIVER OF LIABILITY
- Client hereby releases, waives, and discharges the organizer and all associated retreat staff, contractors, and affiliates from any and all claims, liabilities, demands, actions, or causes of action arising out of or related to my participation in the retreat.
- Client accepts full responsibility for any risk, including injury, illness, harm, or property loss, that may occur during travel to/from and during the retreat.
7. CODE OF CONDUCT
Client agrees to:
- Be respectful to staff, fellow guests, local customs, and the retreat environment.
- Abstain from illegal substances and disruptive behavior.
- Follow instructions and retreat schedules where and when applicable.
- The organizer reserves the right to dismiss any client who does not adhere to these guidelines without refund.
8. ROOM SHARING & ACCOMMODATION
- Accommodation preferences will be honored when possible but are not guaranteed.
- If Client chooses shared accommodation, client agrees to share a room respectfully with another participant.
9. DIETARY & MEDICAL NEEDS
- While the organizer aims to accommodate dietary preferences (i.e. vegan, gluten-free), there is no guarantee of a completely allergen-free environment.
- Client agrees to disclose any food allergies or medical conditions on the registration form.
10. PHOTOGRAPHY & MEDIA RELEASE
By signing this agreement, Client grants full permission to Organizer to use any photographs, video, or audio recordings taken during the retreat that may include my image or voice for promotional, marketing, or educational purposes across digital and print media. Client acknowledges that:
- These materials may be used without compensation.
- Client may revoke this consent in writing before the retreat by contacting the organizer.
11. GOVERNING LAW
This agreement shall be governed by the laws of the State of California, and any disputes will be handled in the appropriate courts of that jurisdiction.
12. GOOD FAITH
Each party represents and warrants to the other that such party has acted in good faith, and agrees to continue to so act, in the negotiation, execution, delivery, performance and any termination of this Agreement.
13. AGREEMENT & SIGNATURE
By signing below, both parties acknowledge that they have read, understood, and agree to be bound by all terms and conditions set forth in this Retreat Agreement. Electronic signatures are valid and enforceable as if signed in ink.
